Ordering & Shipping Materials
- After placing an order for shipping materials, Green Balikbayan Box ApS will contact you regarding delivery or collection of your empty boxes.
- Empty boxes may be delivered during the next scheduled pickup period or collected from a designated contact person.
- Some contact persons may require a refundable deposit of 100 DKK when handing out shipping materials. This amount will be deducted from the shipment price once the box is shipped.
- Some contact persons may offer local delivery if self-collection is not possible. A delivery fee of up to 100 DKK may apply and will not be deducted from the shipment price.
- Shipping empty boxes to a GLS parcel shop is available for 100 DKK per box. This fee will be deducted from the shipment price if the box is shipped with the next available shipment after receiving the materials.
Use of Empty Boxes
Empty boxes are provided free of charge and must be used within 1 year from the date of receipt.
If the box has not been shipped within 1 year, a deposit of 300 DKK per box will be charged.
If the box is subsequently shipped with Green Balikbayan Box ApS within 2 years from the original date of receipt, the 300 DKK deposit will be deducted from the shipment price.
After 2 years, the deposit will no longer be deducted, and the shipment must be paid at the current shipping rate.
If you decide not to ship with Green Balikbayan Box ApS, all shipping materials must be returned at the customer’s own expense.
Returned materials that are damaged, incomplete, or unusable may result in a fee of 125 DKK per box.
Shipping Prices & Special Pickup Areas
- Shipping prices are based on the rates valid at the time of shipment. Any future price changes will be announced at least 4 weeks before the next shipment.
- For Bornholm and other Danish islands without a bridge connection, a pickup surcharge of 200 DKK per box applies.
- Pickup for Bornholm and other non-bridge-connected islands must be approved by Green Balikbayan Box ApS before each shipment.
Shipment Booking & Pickup Policy
To guarantee container space, shipments must be booked at least 24 days before the shipment date.
Shipment bookings made after the deadline will only be accepted if:
- Space is still available in the container.
- Green Balikbayan Box ApS can fit the pickup into the existing schedule.
- Alternatively, the customer can deliver the box(es) to an agreed location and time.
Pickup Preparation Deadlines
Your box must be ready for pickup:
- 18 days before shipment for Sjælland, Møn, Lolland and Falster.
- 10 days before shipment for Fyn and Jylland.
- Bornholm and other islands: By individual agreement for each shipment.
The box must be ready from the first day of the pickup window for your area and selected shipment.
The exact pickup date and time will be confirmed after the shipment booking deadline.
At pickup, the box must be placed outside or be easily accessible near the main entrance. If you are unable to be home at the assigned pickup time, you must ensure access for the driver or place the box outside.
You are welcome to send a photo of the pickup location via SMS.
Cancellation & Failed Pickup
Cancellation of a shipment booking or scheduled pickup within 3 weeks before shipment will result in a fee of:
300 DKK per box
If pickup fails because:
- Nobody is home.
- The box is not ready.
- Access cannot be provided.
The following fees will apply:
- 150 DKK pickup fee
- Plus 300 DKK per box (treated as late cancellation).
If pickup fails because the box exceeds the allowed overweight limit (+20 kg):
- A 150 DKK pickup fee will apply if no approved boxes are collected at the address.
- Plus 300 DKK per rejected box.
These fees may be waived if:
- The customer delivers the box(es) to an agreed location and time.
- A new pickup can be arranged for an additional pickup fee starting from 150 DKK, and only if Green Balikbayan Box ApS can fit this into the existing pickup schedule.
Customs Declaration & Responsibilities
The sender is responsible for completing the Detailed Packing List accurately and honestly.
All shipments are subject to customs inspection and assessment.
Personal items such as clothing, toiletries, and limited quantities of food items (maximum 12 pieces per item for non-commercial use) may be exempt from taxes.
Luxury or high-value items, including electronics, appliances, furniture, and similar goods, may be subject to customs duties and taxes.
The sender or receiver is fully responsible for payment of any customs duties, taxes, or related fees imposed by local authorities.
All food items must have a minimum remaining shelf life of 12 months at the time of shipment.
🚫 Prohibited Items
The following items are strictly prohibited in Balikbayan boxes:
- Firearms, ammunition, explosives
- Flammable or hazardous materials
- Drugs, narcotics, toxic substances
- Motor vehicles, fuel, spare parts
- Batteries and chemicals
- Liquids, detergents, paints
- Jewelry and financial instruments
- Live animals or human remains
- Perishable goods
- Commercial quantities of goods
Green Balikbayan Box ApS reserves the right to report illegal items to the relevant authorities and pursue legal action if necessary.
📦 Packaging Requirements
- Fragile and delicate items must be properly packed and secured by the sender.
- Wooden crates are recommended for additional protection of fragile contents.
- Overfilled, bulging, or improperly packed boxes are not covered by insurance.
Liability & Insurance
Shipments are insured by the shipping company during sea transport.
Upon arrival in the Philippines, handling and delivery responsibility is transferred to Manila Forwarder Phil., Inc.
Declared box contents are insured up to a maximum of PHP 5,000 per box, provided the contents are correctly declared in the packing list.
Green Balikbayan Box ApS is not liable for:
- Breakable items.
- Electronic devices.
- Perishable goods.
- Improperly packed contents.
Estimated shipment and delivery times are guidelines only and may vary due to customs processing, weather conditions, shipping delays, or circumstances beyond our control.
Claims regarding loss or damage must be submitted in writing within 5 days after delivery.
Sender Declaration
By shipping with Green Balikbayan Box ApS, the sender confirms that:
- All declared contents are accurate and complete.
- No prohibited or illegal items are included.
- All customs rules and regulations are accepted.
Shipments may be withheld until all customs duties, taxes, and related charges are fully paid.
